Veg Box Scheme Administrator - Deadline 31st July 2024

Main Purpose of the role

The main purpose of this role will be support the Veg Box Manager (Fran) and admin (Abigail) and manage two days of administration of the organic fruit and veg box scheme.

Working location & hours

The post will be based at Regather in Sharrow, Sheffield, S11 8BU. You can either work from home, or from the Regather Office.  You will be working with other members of the Regather Box Scheme team and wider Regather Food projects.

Working hours are dictated by the volume of customer emails and ordering deadlines of our suppliers. This can cause fluctuations in the number of hours required to complete the work. We have tried to give our best to give an indication of hours below, but a degree of flexibility will be required especially with regards to Tuesday working patterns. On alternate Tuesdays some degree of evening work will be required. 

Working hours are roughly 12 - 16 per week on Monday and Tuesday. These hours are dictated by the ordering deadlines of our suppliers and the job share arrangement.

Monday - Admin 9am to 5pm

Tuesday (WK1) - Admin 11am - finish (between 5pm to 8pm)

Tuesday (WK2) - Packing 8am - 1pm or 1pm to 6pm (depending on candidate availability) 

Tuesday’s admin role is job shared, this means that on a bi-weekly schedule you will rotate between administration and box packing. The benefits of this is that you will practically be able to see the fresh produce being ordered and the job share arrangement enables better support as a team. 

The successful candidate would also have access to our shifts rota enabling them to increase their weekly hours through covering other Veg Box shifts, this could include other administration tasks, more packing or delivery. 

Duties and Responsibilities

Provision of excellent customer service and support - responding to customer emails and calls in a friendly, timely and professional manner

Working off spending budgets, ordering from Wholesalers and local Sheffield farms fresh produce to create Regather’s Organic Fruit and Veg Boxes

Adhering to our Buying Policy to ensure our boxes are filled with high quality local, seasonal and Organic produce

Working to deadlines and ensuring all essential ordering tasks are completed in order for Regather to fulfil its customer orders 

Being part of the Fruit and Veg Box packing team on a bi-weekly basis. Working as a team to ensure all produce packed is correct and of high quality.

Friendliness and good customer service skills

Ability to work as part of a team and communicate effectively to ensure weekly tasks are handed over appropriately

Excellent administrative skills & good attention to detail

Good knowledge of Google Sheets or Excel

Driven and motivated to work alone, meet deadlines & complete tasks

Flexibility to work until the job is done

Interest in Organic food and local, sustainable food systems

Interest in co-operative model for business

Interested in expanding role to include more practical work including packing &/or delivery

Pay rates and benefits

The successful applicant will be paid £11.50 an hour and will be expected to work varying hours as needed. As a cooperative Regather has an equal rate of pay for all workers, you will have the opportunity to become a member and have input in how Regather is run. All eligible employees will be enrolled in the Regather Pension scheme, or you will have the option to opt in, and will receive paid holiday of 28 days pro rata

Start date: ASAP. 

Must be able to start by 19th August at the latest. Ideal start date is the beginning of August.

A period of co-working & training alongside our other administrator will happen for at least 3 weeks.

Regather Board Member - Deadline December 2024

Voluntary Position

Regather is seeking additional Directors to join our current board of 4.



No set qualifications or experiences are required to be a director, but from time to time the board of directors may look to assess the diversity of skills and experiences within the current board and seek to recruit to fill certain gaps. The main qualification is a desire to support Regather to thrive, to be sustainable and adhere to the law and our values.

At this time, we are particularly looking for those with experiences of being on a board of directors or trustees, or who have worked in a senior management role or those with finance experience.

Roles and Responsibilities

As well as abiding by the Directors Code of Conduct. Directors have 4 types of legal duties:

The duty of good faith - to be trustworthy and honest. To keep things confidential. Avoid conflicts of interest and respect collective decision making.

The duty to take care - to read papers and be prepared for meetings. To ask questions and challenge when necessary. To ask advice from senior staff members and independent advisors.

The duty to obey the law

The duty to act in the society’s best interests


This is a voluntary position. Any out of pocket expenses would be covered according to our expenses policy.


Directors meet quarterly at 57-59 Club Garden Road, Sheffield, S11 8BU. Meetings usually last 1.5-2 hours and you will be expected to read the papers in advance, this will usually take one hour.

You would also be required to attend the annual AGM.

Serving term

When joining as a Director, you are expected to commit to an initial term of 3 years.

Regather is looking to establish a maximum serving term of Directors of 3 x 3 years before a Director would have to step down for at least one year. There is no penalty for stepping down early.

Election Process

Directors are democratically voted for at the Annual General Meetings and new Directors or those who have come to the end of their 3 year term who want to stand again, are voted on. Only Members can vote on the appointment of Directors.

We also have the power to Co-opt Directors in between the AGM meetings, these Directors would then be up for formal election at the following AGM.

Chair of the Board of Directors

Regather operates a revolving Chair process - this means that Directors take it in turns to be the Chair at Directors meetings. The role of the chair is to:

Ensure the full agenda is covered

Keep time and move conversations along if they are overrunning

Ensure all Directors are invited to speak and have had a chance to contribute

To summarise and draw out conclusions and actions or recommendations
